Freight Carrier Packet Completeness Tracking Template: Fields, Statuses, and Rules

By John Smith ·

The most useful freight carrier packet completeness tracking template is a small operating record. It should answer what is happening, who owns it, what evidence exists, and when the next decision occurs. This structure works in a spreadsheet, database, or focused application.

Recommended record fields

| Field | Why it exists | Update point | |---|---|---| | Carrier legal name and identifier | Prevents the record from depending on memory or an inbox search | Create requirements from carrier and load context | | Authority status and checked time | Prevents the record from depending on memory or an inbox search | Collect submitted business documents | | Insurance type, limit, and expiry | Prevents the record from depending on memory or an inbox search | Verify authoritative status and document dates | | Agreement and tax-form status | Prevents the record from depending on memory or an inbox search | Route exceptions to authorized review | | Payment-profile status | Prevents the record from depending on memory or an inbox search | Record qualification and release or block assignment | | Load-specific requirement | Prevents the record from depending on memory or an inbox search | Create requirements from carrier and load context | | Reviewer and exception approval | Prevents the record from depending on memory or an inbox search | Collect submitted business documents | | Qualified-until date and decision evidence | Prevents the record from depending on memory or an inbox search | Verify authoritative status and document dates |

Suggested statuses

Use workflow statuses that describe reality: Create Requirements From Carrier And Load Context → Collect Submitted Business Documents → Verify Authoritative Status And Document Dates → Route Exceptions To Authorized Review → Record Qualification And Release Or Block Assignment. Add Waiting only when you also capture a waiting reason and review date. Add Closed—Not Completed when an item legitimately ends without the desired outcome.

Follow-up rules

  • When a new carrier is considered for a load, assign a next action and review date.
  • When required authority, insurance, agreement, or verification expires or changes, assign a next action and review date.
  • When a load needs a client-specific qualification exception, assign a next action and review date.

Avoid reminders with no stop condition. A rule should say when it starts, who receives it, what counts as a response, and when a person should take over.

Example records

  • Insurance expires before the planned delivery date
  • A carrier changes its legal entity after onboarding
  • A client requires a document not in the standard packet

For each example, write the current status, next action, owner, and supporting evidence. This makes the template testable with real work rather than idealized sample data.

Quality-control rules

  • Every open carrier qualification requirement needs one owner and a next review time
  • Completion requires recorded evidence that every carrier assigned to a load has current required evidence, approved exceptions, and a verified qualification decision
  • Automated reminders stop after verified completion or a documented closed reason
  • Keep the TMS, carrier, load, tracking, document, and billing platform as the system of record; only necessary coordination data belongs here

Before adding automation, run the template manually for a week. Remove ambiguous fields and confirm that two different users classify the same situation the same way. Consistency matters more than having a long form.
